Do this now

Your four highest-priority decisions. Everything else waits on these.

    The guiding rule

Spend on what guests feel — food, warm lighting, a great bar moment, photography, and comfortable seating. Save on flowers, favors, extra signage, and decor in spaces nobody uses.

With the venue locked at $14,000, the rest of the wedding should aim for roughly $16,000 before optional upgrades to stay near the $30K plan.

    Budget ranges

Each line carries a low–high range and a status. The totals below include every active row (venue included). Edit anything inline — it recalculates instantly.

    Day-of needs by zone

Your practical rental, purchase, and quote list. Each line names the item, quantity, price range, purpose, and how it fits Manhattan in the Meadow.

All A-list plus B-list names fill the Top 50. Edit anyone in the "All guests" tab.

Reserve holds C-list and unrated names until you promote them.

    Lodging & shuttles

The venue's site lists onsite lodging for up to ~18 guests, plus the Overlook for 4 more (~22 on property). Assign sleepers below and keep day-of pickup timing clear. Note: no transportation cost is carried in the budget — this section is planning only.

    Shuttle math

With ~12 seats per run and 50 people, plan multiple trips or vehicles. If the ceremony starts at 3:30 PM, one vehicle doing 25-minute loops is too tight unless guests arrive early.

    Food & menu

The wedding dinner is where the budget should feel generous. Keep weekend food casual so the main meal stays special.

    Design system

Manhattan in the Meadow — inspired by Ralph Lauren's Double RL (RRL): aged leather, dark wood, antique brass, velvet, tailored silhouettes, and editorial styling, dropped into a wild mountain setting. The ranch is the meadow; you bring just enough to create the Manhattan.

    Palette

    Espresso / black coffee
    Bar, signage, dinner accents, suit.
    Aged leather / tobacco
    Lounge, benches, wood, frames, rugs.
    Antique brass
    Candle holders, lamps, frames.
    Cream / warm ivory
    Linens, paper, menus, base tone.
    Olive / sage
    Greenery, napkins, natural tie-in.
    Rust / terracotta
    Fall accent, florals, paper details.
    Muted mountain blue
Small accent, not the main color.

    Floral direction

    • Minimal flowers — the ranch and mountains carry the scene.
    • Bud vases instead of large centerpieces.
    • White flowers, blue hydrangea accents, greenery, grasses, branches, warm-toned florals.
    • Skip a large floral arch unless budget grows.
    • Candlelight, lamps, dark wood, and textiles for atmosphere.

    Look & feel

    • Rustic cocktail bar in a field.
    • Dark wood, aged leather, velvet, brass, ivory paper, warm lamps.
    • Tailored and elegant, not barn-rustic.
    • One strong lounge/bar zone instead of decorating everywhere.
    • Elegant outdoor dinner with long-table warmth.

    Attire direction

    • Suits: charcoal, espresso brown, olive, or navy — textured or lightweight seasonal wool.
    • Tailored and elegant, not barn-rustic. Think Double RL, not country.
    • Bride: clean, fashion-forward, editorial — lean away from boho if you want the urban edge.
    • Polished but not black-tie, unless you want that contrast.

    The RL inspiration

The concept comes from Ralph Lauren's Double RL world — "a rustic cocktail bar set in the middle of a field," with moody lamps, velvets, hardwoods, and aged leather.

Avoid: mason jars, burlap, bright wildflower overload, overly playful rustic script, and "barn wedding" styling. The mountains plus a few strong objects — bar, benches, lamps, leather, wood, candles, wine, tailored clothes — carry the whole look.

    Church linens & borrowed inventory

Borrow before you rent — linens, vases, and signage stands quietly add up to hundreds. Ask about:

    Linen sizes
6-ft & 8-ft rectangular cloths, round cloths, cocktail-table linens, cloth napkins, table runners.
    Also ask for
Table numbers, vases, candles & holders, serving trays, drink dispensers, easels, tablecloth clips, extension cords, portable speakers, sign stands.
    Confirm
Colors (white, ivory, black, seasonal), how many are clean & usable, whether they must be professionally washed before return, and if there's an inventory list.
    Do
Take photos of everything available so you can compare against the wedding look.
    Message to send
Hey! I'm working through wedding rental and decor planning today and wanted to check whether the church has any linens or table items we might be able to borrow before we rent everything. Do we have tablecloths, runners, napkins, vases, easels, signage stands, serving trays, drink dispensers, or anything like that in storage? If so, do you know what sizes, colors, and quantities we have? I can also come by and take inventory if that's easier.

Where to get tables & rentals

    SourceUse for / why
Gold Mountain RanchIncluded benches, tables, spaces, lighting — use before renting (no delivery fee).
Western Slope Party Rentals (Montrose/Ridgway)First call — tables, chairs, linens, bars, flatware, AV, tents. Local = cheaper delivery.
Alpine Events (Montrose)Rentals + florals/decor bundled — one delivery fee.
Premiere Special Events (Telluride)Tents, glassware, seating, linens. Knows San Juan mountain weddings — prevents costly access/weather mistakes.
Kosi Rentals (Western CO)One lounge set, rugs, styled bar pieces — focal pieces only.
Elite Events / Mountain State (Grand Junction)Larger inventory & good backup quotes — compare delivery vs. Montrose.
Church inventoryLinens, vases, easels, trays, dispensers, cords — can save hundreds.
Costco · Sam's · Walmart · Home Depot · Lowe's · Facebook Marketplace · Buy NothingFolding tables, coolers, candles, frames, lamps — buy only if reusable/resellable.
Why local is cheaper: Montrose/Ridgway is far closer than Denver, so delivery & pickup cost less. Bundling tables + chairs + linens + bar with one company cuts repeat delivery fees. Borrow church basics, rent only what's missing, and buy only what you'll reuse.

    Rent vs. buy

    Rent
Tables, chairs, benches, linens, plates, flatware, glassware, bar, lounge furniture, rugs, dance floor, tent, sound.
