Read This

For Initial Allocation at Start of Season: Click on “Allocation Report by Member”. The main column you want to focus on below is “Granted” – which tells you how many tickets to assign to a member for an event.

After the initial allocations … to deal with Cancellations and Additional Requests: Click on “Allocation Report by Event”. Now the column “Deficit” tells you if someone received fewer tickets than Requested, and the “plusone.Priority” column tells you who has highest priority for receiving a ticket when it becomes available.

Number.of.Tickets is the number they requested, Ranking is the Rank they assigned to that event (vs all others they picked), and Priority reflects their position relative to other members based on the Ranks everyone chose.

Survey Data

Let’s read the Survey data using the “by event” file.

Now extend the raw data by defining n.Members and n.Total. Then define Priority for allocating 1 Member ticket (this matters when n.Members > Available) - Priority is just your Rank relative to others’ Ranking for that event. Further, also define a “plusone.Priority” column to indicate who gets priority for allocating 2 tickets (when n.Total > Available but n.Members < Available)

Allocation

Now we allocate the tickets based on number requested, your Rank for the event (i.e., converted into Priority and plusone.Priority).

The basic idea is that if an event is over-demamded, then members who have Priority level lower than available tickets (i.e., a higher number than Available) unfortunately do not get a ticket.

Otherwise if n.Members < (or equal to) Available then everyone gets at least one ticket. If n.Total < Available then everyone gets as many tickets as they asked for (i.e., 1 or 2) If n.Total > Available then only a few people (= Available - n.Members) can get 2 tickets, and these are the ones with the best plusone.Priority levels.

Ticket Allocation Logic

  1. We are given d_ij = # tickets asked by member j for event i (this is your spreadsheet) and r_ij = member j’s rank for event i

  2. For each event i, compute n.Members = # members who asked for tickets = sum(j : d_ij > 0); ask_ij = 1 if d_ij > 0, 0 if d_ij = 0; n.Total = # tickets asked = sum(j : d_ij); Available = # tickets allocated (12 is default for Jackson Hall, 4 for VST); Priority = member’s Ranking within members who asked for that event;

S_ij = subset(data, ask_ij = 1) –> sort ascending by r_ij;

  1. Tickets Granted (g_ij = 0 / 1 / 2) … for each event i, use the data subset S_ij

  1. n.Members > Available, then set g_ij = 1 for the first Available members … If too many members asked, some get 1 (for whom this event has high rank), some get 0, no one gets 2

  2. If n.Members < Available but n.Total > Available, set g_ij = 1 for all j, then increment g_ij by 1 for the (Available - n.Members) top-ranked j’s for whom d_ij = 2 … If enough tickets for members but not enough for their +1 requests, all get at least 1 ticket, some get 2 (for whom this was high rank)

  3. If n.Total =< Available, set g_ij = d_ij … If enough tickets to satisfy all requests, do so.
