Timeline - Data Entry

  • Due in early August

  • Instructions often not available till mid July!

  • Data must be entered in CUNYfirst by June 30th (or the last work day in June)

  • Central IR Office (Biana) locks data on or shortly after July 1st

  • Information entered after June 30 will not be included in the report

  • Central IR Office (Betsy) runs the calculations after the data is locked and loaded and aims to get reports to colleges by mid July

Timeline - Division of Responsibility

  • College Accessibility staff - check data and provide print disability and staffing numbers to their IR office

  • College IR Directors - have approximately 2 weeks to check data and enter print disability and staffing numbers into NYSED IDEx system

  • Central IR - locks and submits data by a few days prior to the due date.

Data Entry to Ensure Correct Counts

Four items needed to ensure a student is counted…

  1. Disability information (i.e., Disability Code on the Accommodation Request screen)
  2. PREG student group at your college
  3. ACTIVE and INACTIVE Effective Dates
  4. Enrollment for the reporting academic year

Data Entry to Ensure Correct Counts

Enrollment at your college is determined by both student disability information and the PREG student group entered in CUNYfirst

Any student record that does not have

  1. a disability code, and
  2. belong to the PREG student group at your institution and
  3. have active dates corresponding to the reporting academic year and
  4. is enrolled during the reporting academic year

will not be counted in a school’s enrollment.

Why is a correct count important?

Funding for accessibility services is in part determined by a college’s count of students with disabilities as reported to NYSED.

CUNY gets one lump sum and allocates to colleges based on these numbers.

Unfortunately, we have not yet been able to resolve the accessibility issues with this dashboard, so if you are using a screen reader or cannot access the data in the dashboard for any other reason, please email me at elizabeth.rosalen@cuny.edu and I can send you your data in csv or excel via Tumbleweed.

Print Disability and Staffing Information

Calculating FTE’s

Examples:

  • A 9-month, full-time professional staff position that is also 60% responsible for academic advising students with disabilities would be counted as 1 position in the unduplicated total and FTE calculated as: 9 months/12 months X .6 = .45 FTE
