Intake Wellness Coordinators (N=4) in August of 2023 recorded their time spent completing a number of predetermined tasks daily for a total of 10 buisness days. The goal of this study was to gain a deeper understanding of the time required to participate in meetings, complete administrative tasks, and serve clients. In addition to the raw number of hours, IWCs recorded the number of times the completed the task within a week, allowing us to determine the average hours necessary to serve our clients clinically.

Summary Table

The above summary table shows the total time spent on average across IWCs on each task type evaluated in the time tracking study. The data table can be sorted and filtered.

Total Hours per IWC Weekly

The above summary table shows the total hours logged by each IWC during the two week period. The time is reported in total time over the two week period, and divided by two to get the single week estimate of time logged per coordinator.

Figure 1: Pie chart includes a brakedown of all outreach recorded by the IWCs over the two week period. The large pie chart shows the proportion of time spent in synchronous and asynchronous outreach, as well as documentation. The inset charts further break down the types of asynchronous and synchronous outreach time.

This plot shows the number of weekly hours devoted to the intake types (full on left, light on right) as well as the client risk level (HRC, LRC, MRC and special circumstances from top to bottom).

Figure 3: Bar chart depicts the average number of weekly hours spent on each recorded task. The data is broken down by category (Client specific work, administrative tasks, meetings, and prep time), and sorted by increasing amount of logged time. When available, the average time spent on a task type per occurance of the task is recorded on the far right.
